About the Stores Executive Job

The Stores Executive will be responsible for efficiently managing inventory and warehouse operations at the manufacturing facility. The role requires a strong understanding of material handling, stock management, warehouse documentation, system transactions, and coordination with various internal and external stakeholders.

The selected candidate will be responsible for ensuring that materials are received, inspected, stored, issued, and dispatched according to company procedures. Maintaining accurate stock records and ensuring that physical inventory matches system inventory will be an important part of the position.

The candidate will also be expected to work closely with the Procurement, Production, Quality, Suppliers, Transporters, and other departments to ensure timely availability and movement of materials.

Key Responsibilities

Inventory & Stock Management

The Stores Executive will manage inventory levels and maintain accurate stock records for raw materials, components, consumables, finished goods, and other warehouse materials. The candidate should regularly monitor stock movement and identify discrepancies between physical stock and system records.

Responsibilities include conducting physical stock verification, cycle counting, stock reconciliation, stock audits, and inventory checks. The candidate should also monitor stock aging and support efforts to reduce excess, obsolete, or slow-moving inventory.

Goods Receiving & Inspection

The candidate will handle incoming materials and ensure that goods are properly received and documented. This includes coordinating material unloading, verifying quantities against purchase orders and delivery documents, and supporting inspection processes.

The Stores Executive should ensure that GRNs (Goods Receipt Notes) and other relevant system transactions are completed accurately and on time.

Storage, Binning & Material Handling

The role involves proper storage and binning of materials according to warehouse procedures. The candidate should ensure that materials are stored in appropriate locations and that warehouse space is utilized efficiently.

Proper identification, labeling, segregation, and accessibility of materials should be maintained to support smooth warehouse operations.

Picking, Packing & Dispatch

The Stores Executive will coordinate material picking, packing, issuing, and dispatch activities based on approved requirements. The candidate should ensure that the correct material and quantity are issued to the relevant department or customer.

Proper documentation such as issue slips, delivery challans, stock registers, and dispatch records must be maintained.

SAP / WMS / ERP Operations

The candidate should have practical knowledge of SAP, WMS, or other ERP systems used for inventory and warehouse transactions. Responsibilities may include goods receipt, material issue, stock transfers, inventory adjustments, and maintaining accurate system records.

Strong attention to detail is important because incorrect system transactions can lead to inventory discrepancies and operational issues.

FIFO / FEFO Implementation

The Stores Executive should ensure proper implementation of FIFO (First In, First Out) and, wherever applicable, FEFO (First Expiry, First Out) practices.

This helps maintain proper stock rotation, reduce material wastage, and prevent the accumulation of outdated or expired materials.

Warehouse Documentation

The candidate will be responsible for maintaining warehouse-related documentation, including:
